Summary

We are seeking highly skilled, flexible and self-motivated Remote Administrative Assistants to join the Talent Planet team. This role involves being seconded to our clients on short-term or long-term contracts to provide comprehensive administrative and virtual support. The ideal candidate excels at quickly learning new systems and company cultures while maintaining the highest levels of professionalism and productivity remotely.

Key Responsibilities

๐Ÿ’ผ Client Support & Adaptability

  • Provide versatile administrative support to various clients, executives, or teams across multiple industries (e.g., tech, finance, non-profit).

  • Quickly assimilate into new client systems, workflows, and communication preferences upon assignment.

  • Serve as the primary administrative point of contact for the assigned client, managing their specific operational needs.

  • Maintain a high degree of confidentiality and professionalism when handling sensitive client information.

๐Ÿ—“๏ธ Core Administrative Duties (Varies by Client)

  • Manage complex digital calendars and scheduling (meetings, appointments, and travel logistics) for client executives.

  • Handle high-volume internal and external communication, including professional drafting and screening of emails and correspondence.

  • Prepare, edit, and proofread documents, presentations and reports using various software platforms.

  • Organize and maintain digital filing systems (e.g., SharePoint, Google Drive, Box) to ensure document access and integrity.

  • Demonstrate proficiency with a broad range of virtual tools and software that clients may use (e.g., various ATS/CRM platforms, project management tools like Trello/Asana, video conferencing apps).

  • Conduct thorough online research and data compilation as needed for client projects.

  • Process basic invoicing, expense reports, and procure office supplies (where applicable to the client contract).

Qualifications

Essential Skills & Experience

  • Proven experience (3+ years preferred) in an Administrative Assistant, Executive Assistant, or Virtual Assistant role, ideally supporting multiple clients or high-level executives.

  • Exceptional technical adaptability and the ability to rapidly master new software and client-specific platforms.

  • Expert proficiency in the full Microsoft Office Suite and Google Workspace.

  • Outstanding communication (written and verbal) and interpersonal skills.

  • Demonstrated organisational mastery and the ability to effectively manage time and prioritise a dynamic workload.

  • High school diploma or equivalent required; Associate's or Bachelor's degree is a plus.
